Project Coordinator (Grade 10)

Applications are invited to apply for the post of Grade 10 Project Coordinator in the Campus Projects Office (CPO).

Duties of the post include:

1. Preparing  Mechanical & Electrical estimates/Bill Of Quantities/Specifications for tender documents & Contract documents for construction and ICT projects and large M&E equipment procurement projects.

2. Preparing and updating project schedules for various projects using MS Project or any other Project Management Software, such as ASANA

3. Assisting in designing & generating proposed Mechanical & Electrical Systems in the renovation/new projects using AUTOCAD or MS VISIO

4. Assisting with the review of Mechanical & Electrical aspects of the scope of works and bill of quantities for construction works and fitting out works related to projects.

5. Assist in coordinating logistical activities between contractors/subcontractors and various UWI departments that are directly/indirectly involved in projects.

6. Attending all site meetings, equipment/systems testing & commissioning sessions, and site visits during the execution and closeout phases of the project.

7. Assisting with maintaining daily records of site conditions, site labor, weather conditions, instructions, visits by various stakeholders (UWI, statutory authorities, consultants, etc.), non-conformance to contract specifications, and actual progress of works against the contractual programme of works and safety risks.  These details shall be used to produce a weekly (electronic & printed) progress report for submission to the Campus Projects Office and the Consultants.

8. Assisting with the inspection of mechanical & electrical equipment/systems & goods/workmanship on site to ensure compliance/conformance with contract specifications/drawings and requirements.  Immediate report of defective/non-conformance to the Campus Project Office and consultants.

9. Maintaining records of all instructions/drawings/approvals of materials/equipment documents issued to the contractor by the Consultants/Campus Projects Office.

10. Assisting the Consultants/UWI in identifying defects prior to the issue of the Taking Over/Practical Completion Certificate to the Contractor.

11. Assisting with the review and verification of actual measured works/equipment quantities on site against contract measures quantities to aid in payments to suppliers/contractors.

12. Assisting with coordinating all commissioning/testing and handover procedures & demonstrations at the closeout phase of the project prior to Taking Over/Practical Commissioning.

13. Assisting with identifying, highlighting and tracking events/issues that may cause project delays.

14. Assisting with preparation and review of all project handover documentation for all Mechanical & Electrical Systems on projects and ensuring they are properly distributed to all stakeholders/end users.

15. Any other duties assigned by the Head of the Campus Projects Office.

 

KNOWLEDGE, SKILLS AND ABILITIES

Applicants should have knowledge and familiarity with the University’s mission, structure, policies and procedures. Applicants must also be proficient in Microsoft Office Suite.  Applicants must have a working knowledge of software including Microsoft Project, Microsoft Visio and AutoCAD. Applicants must possess working knowledge of Online meeting platforms such as Zoom, MS Teams, etc and Cloud Storage such as MS Sharepoint, etc. Applicants must be willing to work flexible hours including on weekends/ public holidays when and as required.

 

MINIMUM QUALIFICATIONS

Education

Required

Candidates must possess a BSc or higher in Mechanical or Electrical Engineering and post-graduation qualification in Project Management from any accredited tertiary institution would be an asset.

 

EXPERIENCE

Required

At least three (3) years of relevant work experience and Project Management with a minimum of three (3) years of supervisory experience.

Salary will be fixed in accordance with Grade 10 of the salary scale. ($10,761.00 x 376 - $15,273.00).
