GENERAL INFORMATION

What is the purpose of this Award Ceremony?

This award ceremony is being held to honour and celebrate the incredible contributions of the staff at The University of the West Indies, St Augustine. Their hard work and dedication play a vital role in the University’s overall success.

Who can be nominated?

Any permanent/regular staff (non-academic) and temporary staff (non-academic) who have been employed for over five years at The UWI St Augustine.

The Leadership Excellence Award honours the employee who has demonstrated exceptional leadership qualities and has made a significant impact on their team and/or organisation over the past five years. They should be in senior administrative positions, for example, heads of divisions or positions in which staff are supervised.

The Administrative Excellence Award will recognise and appreciate employees in two categories, who have consistently demonstrated exceptional performance in an administrative field. The first is for an employee in Grades 1-6. The second will honour an employee in Grades 7-10.

The Excellence in Technical Service Award will honour the ATS staff member engaged in technical work, who has exceeded the requirements of their position to support the Campus’s efforts in research and knowledge. These include laboratory technicians, technicians, field station workers, dental assistants, and AV technicians, among others.

The Excellence in Student Success Award is an award that will show appreciation to the ‘‘Department/Institute/School/Centre/Unit/Site’’ that has proactively contributed to student success on Campus to help students reach their full potential.

The Award for Excellence in Campus Operations will recognise and appreciate employees in two categories, who go above and beyond their job requirements, contributing to the smooth and efficient operation of the Campus. The first category is for ATS staff members and includes positions, such as custodial staff, groundskeepers, drivers, Estate Police, etc. The second category is for SAP members of staff and includes positions such as Managers, Directors, Officers, etc.

The Award for Excellence in Innovation is given to an employee who has demonstrated remarkable innovation in their role and made a positive impact on their team, ‘DISCUS’, and/or the broader Campus community. This award is open to any category or grade of non-academic staff.

The Most Outstanding Voice of UWI St Augustine Award. This award honours the employee who has truly embodied the spirit of the University and acted as an unofficial ambassador, consistently representing the University’s values and mission in their role and through their dedicated service. This award is open to any category or grade of non-academic staff.

The Principal’s Customer Service Champion Award will recognise and appreciate the staff member who has shown exceptional customer service when interacting with internal and external customers over the past five years. Internal customers are students and colleagues from other departments and other UWI Campuses. External customers are prospective students and their families, members of the general public, private sector, government, international development organisations, and other academic institutions. This award is open to any category or grade of non-academic staff.

Who can submit a nomination?

Any member of staff, whether academic or non-academic, permanent or temporary, can nominate an employee who is permanent/regular, or temporarily employed for over five years.

Are self-nominations accepted?

No. Employees must be nominated by a primary nominator and seconded by a secondary nominator.

How long should the primary nominator have worked with the nominee?

The primary nominator should have worked with the nominee for a minimum of two (2) years. For the Excellence in Student Success Award, the primary nominator should have worked in the Department/Institute/School/Centre/Unit/Site for a minimum of two (2) years.

How will nominees be assessed?

Nominees will be assessed based on the SPIRIT qualities and traits as well as job-related knowledge and skills.

Terms and Definitions

Service Excellence – Service excellence is the ability of an organisation to consistently meet and exceed customer expectations through the delivery of high-quality service, creating memorable experiences that foster loyalty and satisfaction. 

Phenomenal Performance – Phenomenal performance is when an employee consistently exceeds job expectations, delivering results that are significantly above the norm and demonstrating a high level of initiative, creativity, and commitment.

Integrity – Integrity is the steadfast adherence to the principles set out in the University’s Statement of Ethical Principles and Code of Conduct (2019). 

Responsiveness – Responsiveness includes proactive communication, keeping stakeholders informed about progress, delays, or changes, and ensuring transparency in all interactions.

Innovation – Innovation is the process of creatively solving problems by developing new ideas, methods, or products that improve efficiency, effectiveness, or customer satisfaction.  

Trustworthiness – Trustworthiness is the extent to which an employee is perceived as reliable and dependable, consistently fulfilling commitments and meeting expectations.

Internal customers are students and colleagues from other departments and other UWI Campuses.

External customers are prospective students and their families, members of the general public, private sector, government, international development organisations, and other academic institutions.

The term ‘DISCUS’ will be used to refer to all Departments, Institutes, Schools, Centres, Units and Sites.

CRITERIA:

  1. Job-related knowledge and skills: Demonstrates systematic or coherent understanding of an academic, administrative or service field.
  2. Service Excellence: Goes above and beyond, demonstrating a strong commitment to providing high-quality service to both internal and external stakeholders and actively contributing to improving the service experience, offering solutions to enhance overall satisfaction.
  3. Phenomenal Performance: Consistently delivers exceptional results that align with organisational goals, exceeds expectations and takes the initiative in executing responsibilities with high standards of efficiency, quality and precision.
  4. Integrity: Upholds the highest ethical standards, acts with honesty and transparency, and upholds the University’s Statement of Ethical Principles and Code of Conduct (2019) in the performance of duties and work activities.
  5. Responsiveness: Responds promptly and effectively to requests and inquiries, ensuring timely resolutions, providing effective follow-up and ensuring continuity in service delivery of task completions.
  6. Innovation: Proactively contributes creative ideas and solutions that improve work processes, services, or outcomes and implements innovative practices or technologies that lead to greater efficiency, effectiveness or value.
  7. Trustworthiness: Is trusted by colleagues and clients for being available, approachable, and proactive and demonstrates openness to feedback and constructive criticism, fostering an environment of mutual respect.

 

NOMINATION PROCESS

How do I nominate someone for an award?

There are forms for each award that you can complete and submit, along with supporting documentation, to the email address listed. If you are nominating a staff member for an award, you will be called the primary nominator. However, you will also need to provide the contact information for a secondary nominator—someone who agrees with you that the staff member deserves the award.

Can I nominate more than one person?

Yes, you can, as long as the nominees are seconded by a secondary nominator.

Can I nominate the same person for multiple awards?

Yes, you can.

What information do I need to submit with the nomination?

Any documentation or evidence that helps to support your claims.

What are the supporting documents/evidence?

The supporting documentation or evidence includes any documents that can be attached to support the claims made in the nomination forms. These can include testimonials (letters or emails praising the nominee) from members of staff (excluding nominators since those will be included in the form) or written correspondence about an activity they accomplished, e.g. an email notifying staff about training or a flyer about a workshop. They can also include awards or other types of recognition, endorsements and resumes.

Administrative Excellence Awards:

  • Demonstrates consistent performance, exceeding the requirements of the position

Excellence in Technical Service Award:
